BACKGROUND
TRAFFIC, the wildlife trade monitoring network, works to ensure that trade in wild animals and plants is not a threat to the conservation of nature. It actively monitors and investigates wildlife trade and provides information to diverse audiences worldwide as a basis for effective conservation policies and programmes. TRAFFIC is a strategic alliance of the World Wide Fund for Nature (WWF) and International Union for the Conservation of Nature (IUCN). TRAFFIC is an international network which is organised into six regional hubs.

This position will provide administrative support on project administration, finance administration and office administration. Working primarily within the Project Administration team at TRAFFIC, but also required to provide some support to other teams as required.

The salary scale for this position is £21,000 - £25,000 depending on skills and experience
JOB DESCRIPTION
Project Administration Duties:

• Creating, maintaining and archiving files for projects within the filing system at TRAFFIC (both hard and soft copies)
• Circulating reference materials and providing assistance in the preparation of materials for meetings and events
• Supporting the project development process within the team
• Coordinate the process and checking of timesheet analysis data and reconciling to finance reports
• Updating and maintaining the various project databases in the office.
• Support the contracting process and distributing to the relevant parties
• Providing updates to the internal communication platforms relevant to Project Administration and proposal development.
• Assisting in the preparation of project audit files, project reports and funding proposals
• Ad hoc administrative tasks as asked for by Project Administration Officers.

Finance Support Duties:

• Archiving of financial files and information
• Confirming receipt of funds sent abroad
• Raising of invoices and requests for funds
• Analysis of credit card statements
• Update supplier accounts and send out remittance advices
• Matching of POs ad invoices

Office Administrative Duties:

• Providing cover as required on answering the main office phone, dealing with post, ordering stationary and other administrative duties as required
REQUIREMENTS
  • Must be eligible to live and work in the UK
• Proven experience working in an administrative role
• Excellent organisational skills, with experience gathering, analysing and presenting accurate information
• Strong computer literacy with an emphasis on using spreadsheets
• Ability to multi-task and work well within a team
• Be motivated, keen to learn and able to work on own initiative when required
• Strong fluency in written and oral English required
