A newly created role for an individual who is looking for the opportunity to build on existing bookkeeping and administration skills, support a growing organisation and be part of a small and dynamic team at the heart of global sustainability.

Bonsucro is a Not for Profit organisation made up of over 500 members from across the global sugar supply chain - farmers, millers, retailers, end buyers of sugar and sugarcane by-products, agri-business and civil society groups. We manage the most credible global performance framework for sustainable sugarcane production. We use this to inform, improve and inspire a membership community of change.

Responding to stakeholders and recognising significant shifts in industry and development thinking (role of certification and standards organisations), Bonsucro is repositioning itself to become the global change platform for sugarcane.

The Finance and Administration Executive role will be based at the central office in London. It is not envisioned that the position will require any traveling.

Job Purpose

Reporting to the Finance and Risk Manager, you will provide support with finance, administration, payroll and basic accounts management, as well as supporting the CEO and teams with other administrative requirements as needed. You will also be responsible for maintaining and improving the effective functioning of the London office space, and supporting the organisation of logistics in regard to board and committee meetings, staff meetings, corporate level workshops and team-building events.

Personal Specification

You are confident and communicative with experience in bookkeeping and use of finance systems, as well as general office procedures. You have a proactive and positive approach to work and demonstrate a keen eye for detail and accuracy. Extremely well-organised, you are able to juggle a variety of tasks while sticking to deadlines. You are also adaptable and responsive when it comes to dealing with requests from colleagues and are comfortable providing administrative support. The role would suit someone with an interest in sustainability who thrives on taking ownership over processes.

Job Tasks and Responsibilities

Finance Support

  • Own the operation of Bonsucro’s bookkeeping, ensuring that financial records are accurate and up to date, to enable the timely provision of accurate and useful financial reports to management, the Board and Finance & Risk Committee
  • Posting of all sales and supplier invoices to the accounts software, processing expenses claims and month end accounting journals
  • Credit control: assist with the production of debtors reports and aged debt recovery
  • Payroll: own operation of the monthly payroll processes to ensure that staff are paid accurately and on time and that all appropriate filings are made with the relevant tax authorities
  • Provide additional support as required to the Finance & Risk Manager

Smooth Functioning Membership Administration

  • Work with the Finance & Risk Manager and the Membership Manager to ensure that accurate and up to date membership details are maintained and that any new membership applications are reviewed, processed and invoiced efficiently and accurately.
  • Support the Finance & Risk Manager and wider team with the handling of member enquiries and administrative issues

Office Management and Administration

  • Proactively support the implementation and improvement of Bonsucro’s internal administrative policies and operations.
  • Assist in the effective functioning of the London office space, ensuring it is a fit for purpose work environment. This may include:
    • Liaising with the office building manager
    • Management of the procurement of office supplies, ensuring sufficient stock levels are maintained and cost effective yet sustainable sourcing.
    • Assist the Head of Corporate Services in relation to meeting our Workplace Health & Safety obligations
    • More generally, an ability to anticipate and deal with issues before they arise.
    • Administrative support to the CEO and teams
      • Support the international teams with administration needs
      • Assist coordination and arrangement of office social events
      • Management of the annual leave system
      • Handle logistics and take minutes for selected governance body meetings, including Board of Director meetings and Finance & Risk Committee meetings

Criteria

Essential Criteria

  • Working knowledge of accountancy/bookkeeping principles and software
  • 2+ years prior experience in a finance or bookkeeping role, ideally in a not for profit or professional service environment.
  • Excellent organisational skills and an ability to prioritise
  • A high level of attention to detail
  • A proactive approach to work and confidence in working independently
  • IT proficiency and experience in using a range of applications, including Excel, CRM systems, Skype, virtual meeting software, etc.
  • Good interpersonal skills and an ability to effectively work with others, including remotely based colleagues
  • Excellent English communication skills, both verbal and written
  • Comfortable in global setting and communicating with remotely based colleagues

Desirable Criteria

  • AAT Advanced certificate in Bookkeeping (or equivalent).
  • Relevant qualification in business administration and/or office management
  • Ability to speak multiple languages especially Latin American Spanish and Portuguese

This job description reflects the core activities of the post.  As the service and the post-holder develop, there will inevitably be some changes to the duties and possibly to the emphasis of the post itself.  We expect that the post-holder will recognise this and will adopt a flexible approach to work. This could include undertaking relevant training where necessary. The line manager will consult the post-holder if significant changes to the job description become necessary. Any changes will be reflected in a revised job description.
