Description  

The Visual Equipment and IT Officer is responsible for the management of EIA’s visual equipment, images and video, especially the ongoing development and use of our Digital Asset Management (DAM) software. The role also includes a large element of IT work, mainly as a ‘first responder’ and as liaison with our IT support company.

 

Specialist / Technical

Equipment

  • Manage all equipment within EIA, regularly update insurance records to reflect equipment purchases
  • Ensure all equipment is in working order
  • Maintain and improve current booking system for audio/video equipment
  • Collaborate with campaigners before and after field trips, set up required equipment before departure and check for damages on return using in-house booking system
  • Administer purchase order forms and issue invoices for equipment
  • Plan and schedule photographic/video equipment purchases within Comms team
  • Work within agreed departmental expenditure budgets and in accordance with budget management systems

 

IT

  • Manage day-to-day IT issues, liaise with staff, solving problems quickly and efficiently
  • Escalate unresolved issues to external IT support when required
  • Authorise IT requests from staff and ensure completion in allotted time frame
  • Liaise with IT account manager on monthly basis, check targets are met and any performance issues
  • Plan IT improvements and how they can be best accomplished within allocated budget
  • Work on solutions for a mixed platform office, enabling all users to share and collaborate data across one platform
  • Ensure backups are maintained across all servers and mitigate any problems that may occur
  • Improve security and assess network infrastructure for threats; ensure all virus software is updated and working
  • Create an update strategy for office computers
  • Work on solutions for large data storage and archiving
  • Audit all IT subscriptions for renewals and terminations
  • Advise office on IT purchases, laptops and peripherals

 

Digital Asset Management (DAM)

  • Responsible for all administration and design of the DAM within EIA
  • Add and remove external users when required and audit Asset usage
  • Regular communication with DAM support team on updates and security
  • Create and set workflow standards for cataloguing of assets
  • Responsible for metadata accuracy and guideline adherence
  • Design and configure future metadata models, while maintaining current system
  • Work closely with staff to ensure efficient asset delivery and adherence to guidelines
  • Guide and facilitate end users to with search, retrieval and uploading of assets
  • Establish guidelines for, and assist in, office training
  • Facilitate the transfer of EIA materials to other secure storage using hard drives, FTP, shared drives and other methods
  • Analyse EIA content for the presence of personally identifiable information and other confidential and sensitive information; redact and otherwise restrict access to this information
  • Develop procedures for archiving tape and slide materials according to professional standards, implement these procedures and train staff where needed
  • Participate in the creation and maintenance of documentation and policies for arrangement and description.
  • Deal with external footage and photo licence requests

 

Strategic Planning

  • Participate in the Communications departmental planning process to identify clear goals and strategic objectives
  • Contribute towards the identification and implementation of ways to further integrate the work of the Communications department with both Campaigns & Fundraising departments
