Role Profile:

ZSL is seeking a Marine and Freshwater Projects Administrator for our Marine and Freshwater Conservation Programme who will support the Bertarelli Programme in Marine Science and Philippines projects. Typically, this will require the job holder to provide administrative support in the areas of travel and expedition logistics including health and safety administration, financial support, upkeep and completion of records in the ZSL projects database, workshop and conference organisation as well as other support functions around the programme.

 

Reporting directly to the Bertarelli Programme in Marine Science Project Manager, this key position requires a highly reliable, resilient and proactive individual who has the ability to multi-task and stay calm under pressure and build strong relationships with a range of key stakeholders. Main Duties and Responsibilities:

  • Helping with expedition/project visit logistics as required including purchasing of equipment, arranging international shipping deliveries, permits, travel for team and production of health and safety paperwork.
  • Organising project meetings and workshops, including the preparation of materials.
  • Responsibility for inventory, storage and maintenance of programme equipment.
  • Creating and curating content for project blogs, websites and social media to communicate the work of the project to stakeholders.
  • Working with project leads to supervise financial transactions such as chasing reconciliations, checking receipts and arranging for international bank transfers. Close coordination with our operations and finance teams is important to ensure all ZSL requirements are met.
  • Liaison with financial, operational and other relevant staff in the UK and Philippines to ensure consistency in matters relating to finance, health and safety and Human Resources.
 

Person Specification:

The ideal candidate will:

  • Have prior experience in project administration, particularly experience in supervising budgets.
  • Extensive experience of project communications on a range of platforms, to include the creation and curation of content on webs-sites and social media.
  • Be educated to degree level in a relevant subject or equivalent qualification or have relevant work experience.
  • Previous experience of expedition/overseas project visit organisation or management.
  • Have excellent organisational abilities and administrative skills with strong attention to detail and dealing with suppliers.
  • Strong skills in Microsoft Office, particularly in Excel.
  • A good grasp of marine and freshwater conservation issues particularly those in the UK Overseas territories is desirable.
  • Be pro-active and would become involved in the development / revision of projects, methodologies and reports.

This job would suit a graduate in the field of aquatic/ marine biology, or similar discipline, who is looking to develop a career in conservation. They will have an understanding of, and passion for, the conservation of aquatic habitats and fauna and a particular interest in mangroves and/or coral reefs.

 

Please note: The post holder will be based primarily at the ZSL main offices in London, Regents Park, but may occasionally be required to travel to collaborators based elsewhere in London and the UK.
